Serials Workflow: Fixing Field 952 Incomplete Holdings
*THIS WORKFLOW DOES NOT MIGRATE TO FOLIO*
*FIELD 952 IS NO LONGER USED AND WILL NOT BE USED*
In the Holdings Record
IF THE ITEM RECORDS INCLUDE HAS/LACKS NOTES
Return to the holdings record.
Find the first volume and the last volume in the 866. Delete all volumes listed in between and add a public note: $z Incomplete holdings
If the 866 field lacks indicators, input 41 for the indicators.
Delete the 952 note listing incomplete holdings.
Save.
The new holdings statement will look like this:
IF THE ITEM RECORDS DO NOT INCLUDE INFORMATION REGARDING INCOMPLETES
Return to the holdings record.
It is preferable to not retain the full 866. Find the first volume and the last volume in the 866. Delete all volumes listed in between. In such cases where the full 866 is needed, clean up the holdings statement by deleting all symbols such as brackets, slashes, etc.
Add $z Incomplete holdings
If the 866 field lacks indicators, input 41 for the indicators.
Copy the information in the 952 field and paste into the item description field for the appropriate years (if available). If the item is a microform, it is likely to have only one item with a dummy barcode. Input the entire 952 incomplete statement into the Item Description field for that dummy item.
Delete the 952 note listing incomplete holdings.
Save.
The new holdings statement will look something like this:
Note: If there are any 590 notes in the holdings records, delete them. Do not review. This field is no longer in use.
In the Item Records
Click on the General Information (1) tab.
Review item records for the serial and update the Description field.
Remove Inc. from any items that have this in the description field.
Look for the check mark in the Notes column. Look for an OPAC note from the General Information (2) tab with HAS or LACKS information.
Cut and paste HAS/LACKS notes from the OPAC note field into the description field. If there is no HAS/LACKS note in the OPAC note field, still delete the Inc. in the item description.
Save.
Examples (Don’t forget to check for a HAS or LACKS note in the OPAC note field):
In OCLC Connexion
After updating the holdings and necessary item records, copy the 035 and go to OCLC.
Verify that it is the correct bib and export (check for merged records, etc.). We want records to have the current, up-to-date bib.
