These guidelines are to help those who work with eResources of any type (ebooks, ejournals, escores, emaps, etc.). Follow the general metadata checklist to ensure all information is included in the eResource record. The language of cataloging should be English (eng). Remember to set holdings on the appropriate OCLC WorldCat record. We no longer add free eResources or cover records in Inventory that are used for acquisition purposes only.
When cataloging an eResource, you will need to have this information:
Because of how EDS defines “Full Text,” we need to differentiate URLs that go directly to the resource (fulltext, streaming video, streaming audio, etc.) and those that are not Full Text, like the microform request form, links to table of contents, summaries, or images of cover art
(Exception: shared bibliographic records that have an LC Organization Code for another 5C institution in the 856 field)
For the MARC SRS (Bibliographic) Information: Include
1. RDA terms and codes for Carrier, Content, and Media.
2. 655 \4$a with the appropriate genre term.
3. 506 with UMass access phrase and information on number of users if that number is limited. We don't add anything to the 506 UMass access phrase if the eResource has unlimited users as in the example below.
If the eResources has a limitation on the number of users, record this before the period in the same 506.
eResources do not have any holdings statements.
For an additional copy or copies of an eResource that are purchased:
The number of items for eResources should be kept to a minimum, with a best practice of 1 item per holdings record.
The Container Code is used to colocate records together as a set. The Container Code is in the MARC field 035 9_ in the bibliographic MARC record. These codes are managed by the batch loaders and are primarily, though not necessarily, used for record sets that are managed in batches. Container codes are used for Docuseek2 (UMNjRocCCS) and Kanopy (UMKanopy) SRS MARC bib records.
