Depository Transfers: Theses Student Coders/Packers

This document provides instructions to students for coding and packing theses for the Depository. The macros refer to a transferable macro file (see the contact person at the bottom of page).

• ALEPH tab settings (upper left corner of screen) should be:
  • Connect to = FCL01
  • Select ADM Library = DEP50
• Wand in the Barcode.
• Check Tab 2 item fields of the first item. These fields will duplicate for new items.
  • Sublibrary = UMDPT
  • Collection = UDBKS
  • Material Type = BOOK
    • If the Material Type is ISSBD, please separate and/or process as serials.
  • Call Number Type = 8
  • Item Status = 02
  • Item Process Status = TR (macro will change any other codes to TR)

• ALT+F7 to change Item fields.
• Check Temporary Location Box.
• Win+4 to add “UM Box ####”
  • CHECK FOR A CIRC NOTE, “Return to Kay.” Bring these vols to a supervisor.
  • Update these macros for each box packed.
• CTRL+Z to be sure there is a check mark under “Linked.” Click the “Link” button if there is no check.

• WIN+2 to the HOL record.
• Check the following.
  • OWN=DP If OWN code is wrong, please put volume aside for me.
    • [If OWN code is UM, change it to DP. CTRL+L to save changes.]
  • 852 8
  • No call number in 852 8
    • To delete call number, click on subfield h or i, then CTRL+F7.
    • CTRL+L to save changes.
  • 856 55 field with a URL. [If this is not present, CTRL+U to add URL.]

• WIN+1 to the Bib record.
• Check: OWN=DP If OWN code is wrong, please put volume aside for me.
  • [If OWN code is UM, change it to DP. CTRL+L to save changes.]
• ALT+1 to return to Barcode field.
